How a swim club moves off SwimTopia: which swimmer, family, and dues records import cleanly, why meet results and times stay with your timing software, and where paid hands-on migration is the honest answer.

Why SwimTopia customers are asking.
SwimTopia was acquired by CampMinder in February 2025. An acquisition is not by itself a reason to leave — but it is usually the point at which a club finds out whether the roadmap and support it bought are the ones it keeps, so it is worth asking directly at renewal.
What can come across, and how you get it here.
There is no automatic import from SwimTopia, and we will not market one. Each record type below names the rung of our migration ladder it is reached from — the self-serve rungs are free to do yourself, and the hands-on rungs are a paid, quoted service.
Swimmers and families
Rung 1 — self-serve CSV import. Swimmer records with parents and guardians linked to them, which is what turns on Golbi's family privacy rules for minors.
Squads and groups
Rung 1 — self-serve CSV import. Training groups and squads with their coaches and who swims in each.
Season calendar
Rung 1 — self-serve CSV import. Practices, meets, and venues as calendar entries, imported from a schedule export.
Dues and fee balances
Rung 2 — guided migration kit. Paid and unpaid state with external payment references, loaded as private ledger notes.
Volunteer and job commitment records
Rung 3 — assisted mapping, a paid service. Job-credit and commitment tracking rarely exports in a shape that loads cleanly, so it is mapped with you and previewed before writing.

Swim clubs move between seasons. Confirm your timing and results workflow stays where it is, then import swimmers, families, and squads, rebuild registration questions and public pages, and bring dues and job-commitment balances over last so the season opens on a settled number.

What happens to our meet results and times?
They stay with your timing and results software. Golbi is not a meet-management or results system and does not pretend to be one — this move is about your people, squads, dues, and public pages, not your times database.
Can we keep our volunteer job-credit system?
The balances can come across through the paid assisted rung, but the rules that generate credits are configured again rather than migrated. It is also worth knowing that Golbi's wider volunteer program management is Restricted, so scope this in conversation first.
Do families have to re-register?
Their records and balances come across, so nobody starts from scratch or pays twice. What each family does once is re-enter payment details, because stored card and bank credentials never transfer between platforms.
Can we collect swim dues online?
Online collection is gated on your plan and on connecting your club's own payment account, and it is not on by default. Where it is on, your club is the merchant of record and money settles to your account — Golbi never holds it. Until then, dues are tracked as a private ledger with payment instructions.
